Position Summary

Reporting to the Sr. Safety Manager, the HSE Compliance Coordinator, will ensure U.S. operations compliance documentation is accurate and current. Interface with the field operations and managers to gather and maintain information related to Department of Transportation, Drug and Alcohol Testing Designated Employer Representative and other regulatory establishments. Data capturing, validating, and report building of HSE analytics. This role includes fostering collaborative relationships with multiple stakeholders across the organization. The ideal candidate will have the ability to manage and communicate key information across multiple sites, in a fast-paced, ever-changing environment carefully and efficiently.

Primary Duties and Responsibilities:

  • Will manage, maintain, and distribute safety data/metrics and reporting,
  • Will work closely to communicate and provide critical data to internal departments as needed, as it relates to HSE accidents or employee data
  • Answer calls & liaison with clients, vendors, and operational stakeholders,
  • Will provide first-hand administrative support to Sr. Safety Manager and U.S. Director of Safety, when and as needed, including but not limited to, memos/communications, policy maintenance, presentations, reporting and other business-related needs,
  • Will maintain training records across various locations, including training attendance,
  • Maintains all safety related documentation, procedures and policy on Microsoft Teams channels, Share Point and other, ensuring documents are up to date,
  • Maintains database for all company incident and reports deficiencies through Cority or other authorized systems,
  • Managing invoicing and coding for safety-related charges,
  • Maintenance of driver files/qualifications required to report on commercial motor vehicle compliance records.

Knowledge, Skills, and Abilities

  • Must be proficient in Microsoft Excel, Word, PowerPoint and Outlook,
  • Able to be agile in a fast-paced environment, managing competing priorities,
  • Solid typing, communication, and proof-reading skills,
  • Reporting skills (experience with an HSE technology / software, is a plus!)
  • Knowledge with OSHA record keeping and reporting, FMCSA and Drug and Alcohol Testing Regulations,
  • Must have accuracy and attention to detail,
  • Ability to be highly organized with strong initiative and self-starter,
  • Ability to problem solve and provide smart solutions to broken or non-existent, or developing processes,
  • Strong verbal and written skills,
  • Must be able to have tact and confidentiality when dealing with confidential information.

Education and Experience

  • Associate degree preferred at a minimum, however recent experience in HSE Analytics and Data Reporting will be considered.
  • Experience with a large organization, particularly with various sites/locations
  • Minimum of 3-5 years of reporting experience, particularly in safety, is required
  • 3+ years applicable experience in a related role, particularly compliance with FMCSA, OSHA and Drug and Alcohol Testing Programs
  • 2+ years' experience managing company-wide reporting and other sensitive data
  • Intermediate to advanced proficiency in Microsoft Excel, Word and PowerPoint is required
  • A solid working knowledge of the following software applications: PowerPoint, Spreadsheets, Data Base and Word Processing Skills
  • Experience with extracting and manipulating data, into Excel, from safety data systems
  • Ability to calculate rates and figures such as Recordable Incident rates of various types including but not limited to Lost Time Rates and Severity Rates.
  • Previous experience with safety management software systems, is preferred.
  • Prior experience with Business Intelligence and visualization tools is also a plus

Work Conditions/Physical Demands

  • Will be sitting stationary position 50% of the time, or more
  • Must be able to operate typical office equipment such as phone, laptop, scanner/printer, webcams.
  • Must be able to lift at least 10 pounds
  • 10% travel may be necessary per business needs
