Purpose

This is a full-time position within the marketing and communications team, responsible for the delivery of all college-wide and sponsored events ranging from commencement to town halls. As part of the Marketing and Communications team in the College of Education, this position is responsible for advanced event management, program administration, coordination, and all phases of program activities, including planning, budgeting, developing, coordinating, executing and managing follow-up for large meetings, events, and conferences.

Responsibilities
  • As part of the Marketing and Communications team, skillfully plans, coordinates and oversees the daily operations and programming of college-wide events, ranging from fall and spring commencements to admitted student days. Coordinate and arrange all facets of logistics including securing venues, parking, vendors, services needed and walk-throughs, planning guest list, invitations, menu, coordinating talking points and run of shows, decorations, and activities, and ensuring all administrative paperwork required by the University and contracts are in place, achieve final approval, and that event budget is tracked and met. Work with the team to coordinate communications or promotions for events, as well as collateral and event materials (signage, programs, nametags, slide decks, registration pages, emails, etc.)

  • In collaboration with the Dean's Office and External Relations, responsible for planning internal and external events for faculty, staff students and the greater community at large.

  • Assist the Development team in planning, coordinating and executing internal and external events including (but not limited to) Dean's forums and donor-related events.

  • Support departmental staff with Tier 2 and Tier 3 events by attending planning meetings and sharing resources.

  • Perform other related duties as required.

Required Qualifications

Bachelor's degree. At least 3 years of experience managing large and multifaceted events in a fast-paced environment. Deadline driven and detail oriented.

Preferred Qualifications

Four or more years of experience in coordinating major events in a higher education, governmental or related environment; excellent communication and customer service skills; familiarity with UT policies; knowledge of event management processes and activities; ability to prioritize time sensitive tasks; can-do attitude and high energy.

Salary Range

$60,000+ depending on qualifications

Working Conditions
  • May work around standard office conditions.

  • Repetitive use of a keyboard at a workstation.

  • Work outside normal business hours, to include evenings and weekends, is required on a periodic basis.
